Office Assistant

Full or Part Time
Midland, TX

Summary:

An Office Assistant supports the daily operations of the office by performing receptionist, clerical, secretarial and administrative work; including, receiving guests, maintaining common areas, and representing the organization. 

 

Requirements: 

  • Familiarity with Windows 10

  • Intermediate Outlook

  • Intermediate Excel

  • High School Diploma or GED (preferred)

  • Relevant Experience (preferred)

 

Job Responsibilities: 

  • Be present during normal business hours to welcome guests to the office. 

  • Set an example of professional conduct above that of the general business culture. 

  • Greet and take care of visitors courteously and promptly. 

  • Receive, record, and redirect questions, comments or complaints from callers or guests in a courteous manner. 

  • Receive, sort, and distribute mail and deliveries. 

  • Answer and place phone calls on behalf of the company. 

  • Schedule meetings and book conference rooms in Microsoft Outlook.

  • Facilitates and takes notes at meetings.

  • Order meals for meetings and other business events.

  • Support the business functions for organizing, filing, data-entry

  • Troubleshoot basic audio/visual issues including desk phones, conference phones, projectors, etc.

  • Maintain common areas and meeting spaces by keeping them clean and organized.

  • Prepare meeting areas for presentations or meals. Sets up A/V equipment

  • Maintains office supply inventory.

Work Location:

All work will be performed at an office in Midland, TX.

Travel:

This position requires no travel. 

Physical Demands/Working Conditions:

Sitting to perform all tasks for an 8 hour work day, keyboarding, standing, bending, and reaching. Indoors.

Knowledge, Skills, Abilities, and Other Characteristics:

Knowledge: clerical, customer and personal service, Microsoft Windows 10 and Office 365

Skills: Active listening, speaking, service orientation, reading comprehension

Abilities: planning and prioritization, scheduling in Outlook and conference call systems, note taking, and transcribing

Other Characteristics: dependability, communications, attention to detail, initiative, interpersonal relations.
